Then update the status field at the top of the page.

The streaming video service was provided by a company called Veodia and the virtual reality environment was in Second Life service. The slides you viewed were probably hosted on the Slideshare service. You have therefore been making use of a variety of third party services.

Topics for discussion:

Have you encountered any problems using these services?

What would be the benefits if the streaming video, access to slides and virtal reality environment were provided in a managed environment (e.g. hoisted by a JISC Service)? What would be the disadvantages?

Would you be willing to make use of these remotely-hosted services to participate in a future event? If so, what suggestions would you make to improve the experience?

Second Life provides a social network, as do Facebook and MySpace. To what extend should institutional policies or advice regarding social networking services also cover Second Life? And is there an argument that, just as a JISC-funded study into student attitudes to Facebook was given a headline in the Guardian of "Get Out Of MySpace!", institutions should stay out of Second Life?

 Summary of the Discussion

 Recommendations

Group 5

 About This Page
This page has been set up to support the discussion groups.

Participants in your discussion group will have been assigned to a discussion group and given a handout with some suggestions for topics to be addressed. When do you remove/ask to remove stuff? If material hosted outside the institution, how bad does it have to be?

Acceptable Use Policy (AUP) not relevant to alumni or prospective students

Copyright - many staff are not fully aware of issues surrounding copyright law (e.g. they think permission to use means they have copyright). Can no longer say, "the subject librarian will sort that out".

Data Protection - Outsourcing to the states - data protection, cannot transfer to states. Can, if you have proper contract or permission of individual.

Accessibility - How accessible is the third party technology that's being promoted? How accessible is the Web 2.0 software an institution adopts?

 Controlling information

How secretive should we be? If it's really bad, people will talk about it down the pub etc, so it can't be controlled.

 Resources

How to do web2.0 with existing resources?

How many sites running own blogging service? Run by corporate systems. Now how do you use it? People using it for research.

Departments not wishing to pay for additional services (or those that they think they can get for free)

 Pace of change

 Using Web2.0 / Cultural Barriers

Is it professional to use Instant Messaging at work?

Resistance by management who don't want to have to police everything - we don't police email.

Who sets up the institutional Facebook presence / Second Life presence?

Web2.0 is something everyone knows something about. Five years ago it would be Information Technology decision - now it's public and can be a Public Relations exercise/challenge.

 2. Addressing The Concerns
How should such concerns be best addressed?

Compliance:

Enforce regulations

Working with the Student's Union

Institutional cooperation and steer

Guidance on outsourcing etc. from JISC, UCISA etc.

1. If an institution feels strongly they'd have to ask their legal advisors.
Student moderators.

2. Education, training and raising awareness

3. There's a lot of stuff we can't control, e.g. for alumni.

4. Risk management

Accessibility

3. Some IT staff are now in the corporate / pr

4. If outsourcing most web2 stuff is free (Facebook etc.) Support is the resource.

Using Web2.0 / culture
Education and collaboration with Student union and departments, also between marketing and IT and top management

 3 Addressing The Concerns
Which organisations, groups or individuals should be responsible for addressing such concerns?

Is it IT services responsibility?
When IT is pervasive we need to treat things differently.
Proctors may ask IT for advice. We suggest head of department, but if locally hosted service IT has to help.

How do you get in contact with Students Union.
Marketing dept looks after brand, working in partnership with IT.
We wouldn't expect IT to make decisions with brand damage, IT will help technically. IT would look after security.

Rubber stamping at high level

 Summary of the Discussion

 Recommendations

Group 4

 About This Page
This page has been set up to support the discussion groups.

Participants in your discussion group will have been assigned to a discussion group and given a handout with some suggestions for topics to be addressed. For people that want to take part in the day using their Web browser, please follow this link.

For people wanting to use Second Life, please go to the Virtual Congress Centre on Eduserv Island in Second Life and view the video screen.

Moodle registration
We are going to use a Moodle chat room on the day to allow virtual delegates to chat to each other and to the delegates in the room who are on wireless. You need to register to use the chat room. Please follow this link to register and enter the chat room. When you do this for the first timer you will need to click on the 'Creat new account' button, then follow the instructions. Clicking the link in the confirmation email will take you direct to the chat room.

 About The Live Streaming
The talks at this event are going to be video-streamed into Second Life and onto the Web so that virtual delegates can see them.

This is very experimental. I hope it will work but it may not. The intention is to demonstrate (or not) the possibility of using very lightweight and free/cheap tools to stream a face-to-face meeting to a virtual audience in Second Life and on the Web.

Slides
A full set of slides for the day are available here as a single Slideshare show - this should make it easier to follow what is happening on the day.

Equipment and tools
This is what we are going to use to stream the event...

 A standard Web-cam

 audio mixing tool and microphones

Veodia - a (currently) free video streaming service (in beta test)

The Virtual Congress Centre on Eduserv Island in Second Life

 Slideshare

 A Moodle chat room

Process
Audio and video will be streamed up to Veodia and on from there to virtual delegates in Second Life (via an MP4 stream) and to virtual delegates on the Web via a Veodia Web page. (Note that the URL for the Web page will probably have to be announced here on the day itself)

Virtual delegates in Second Life will be able to see and hear the speaker on a screen in the Virtual Congress Centre, and will be able to view copies of slides on a second screen.

Virtual delegates on the Web will be able to see and hear the speaker on the Veodia Web page and will be able to view slides using Slideshare.

IRC and/or Twitter will be used to give all delegates (hopefully) a way of chatting to each other.

Requirements on the day

Two Internet connections in the venue (two laptops will be used - one for streaming, one for Second Life). Preferably not wireless.

Access to plug the audio mixer into the venue's PA system (if possible).

A table or something to work on. The camera will probably need to be located fairly close to the speakers - so I imagine myself sitting at the front of the room somehow.

Enough mains power (4 sockets I think).

A Moodle chat room.

My own page in the meeting Wiki (this one) for announcements, etc.

We are considering projecting a view of what is happening in Second Life for the RL delegates to see - via a separate data projector - but people may feel it is too disruptive (and the room layout may make it difficult). I'd welcome thoughts on this.

Did I mention that this is all very experimental? I am not an expert. It is not a service. I can't emphasise this enough.

If anyone reading this thinks I'm mad, I'd welcome being informed by email in advance of the workshop!

Andy Powell - andy.powell@eduserv.org.uk

 Your Responsibilities
The organisers will seek to ensure that the technologies are used effectively and will try to ensure that information for potential users is provided.

Remote participants should ensure that they trial their setup prior to the event, to ensure that any client software, plugins, etc., which may be needed are available and any configuration options, firewall setting, etc. can be handled within the local environment.

Talk-Harrison

This page can be used for notes related to the talk on " Groups and social divisions.
Accessibility.
Press media.
Scope.
Writers vs readers, who is who? Coming together of groups. Tumblr. Contribution becoming the norm.
Internal vs External. Researchers, do you welcome collaboration. Provide facility. Safe ground and out in the world.
Service provider questions. People will go externally. Finding needs, internal market testing. People are unsure of purposes. What do people use a tool for? People will use it, what for, where are our needs as instituitions?
Students rating since they pay. Expectations. If they want to communicate, we should facilitate.
Layers. Twitter in the bath! (how much detail do we need?)
Safe. Safe for who? Connections to lecturers are valuable.
Learning takes place elsewhere too.
Who are the users we should be adopting?
How can tools be provided in a way to provide value?
Collaboration across schools on homework instant messaging, Expectation of continuing social support. Not the users' values.
Law or emergent behaviors. People have electronic life already. Know tools to use.
Students use things their way. 90% computer literate. They will use best tools they can get. They're out there.
Personal mashups.
University should support, people will go and build it.
Generational technology gap.
Norm to share and collaborate.
Provide services, but not used.
There are the 10%.
Make it available.
Tendancy for technology usage. User breakdown by tech-literacy, rather than instituitional role?
Context of usage. Blurring of boundaries between blog and social network.
Blogs : localised information, topic based. Use the tool for job (music on myspace).

Academic or research outcome : put it up and see if fit for purpose?
Provide a tool for a purpose.
Engage. Buy in.
Tools often ignored. Relevancy.

Measure success. How do people use it? Why? Everybody is an exception.
Organisations adding value. by getting more relevant stuff to the people who need it.
Established communities before arriving.
Can't force people to use.
Student expectations. Students set points of value.
Needs of users.
Customisation informs needs.
Give tools they can customise and use. Monitor usage to inform development.

Nobody uses email (again).

Alumni. Webmail for life. Contact after leaving. Maintain relationship. These topics are given below. You should stick to the broad area of the group you have been assigned to, but you should not feel contrained by the questions which are provided.

Please include notes of the discussion group below. Remember that your notes will be used by others in the final report back session, so try to ensure that your notes will be comprehensible by others.
--------------------------------------------------------------------------------------------------------
Discusion Group Title: Who Addresses The Users' Needs?
Reporter: Tony Brett, University of Oxford

Pre question: Who are the users? Not only students but researchers and other staff too.
Some users are not within the Universities so need solutions that allow external access too (eg NHS).
Leeds are finding external people are wanting to use their blog solution so this creates a support overhead.
What about other broad user communities? Our collaborators who are not in academia can be a problem. This can be a problem if there are people who are just using blogs and social networks and don't necessarily have email addresses in the University. Boundaries between teaching and NHS work etc. can be very vague. There are other groups like applicants, parents etc. that may need to be considered. What about ex-employees and ex-students?

1 Who Are The Potential Providers Of Solutions?
Who are the main potential providers of blogs and social networking services? What are the strengths and weaknesses of these providers? When might the preferred solution in an institution not be applicable for all?

(+ = strength, - = weakness)

We work on the basis that users might be anybody. Leeds provide blogging for staff but students need to be invited by staff.

Devolved Universities tend to find that schools/departments/colleges tend to pioneer things on their own and then move to centrally provided services once technologies are more mature. It's very hard to insist on the use of central services. They have to be better and/or provide more perceived value than the independent, smaller implementations.

Keeping a central space to University-only has worked well for Leeds as it has made a Leeds-specific space that is free of spam. Word of mouth networking has spread the use of the Leedsfeeds service.

Local solutions:

+ Quick and easy to set up
- Not scalable

Institutional Solutions:

+ Sense of involvement and identity.
+ Control of data both in terms of privacy and IP.

External commercial:

+ More accountable than free-providers

External Free:

+ Avoids resource and setup costs
- Could disappear at any moment
- Ownership/IP issues.
+ Easier cross institution collaboration
- Not responsible to the HE Community
- Could start charging for service

Home-grown:

+ Quick and easy
- Not very scalable

2 Managing Access To A Diversity of Providers
How might an institution go about managing its preferred solution? How would use of alternatives be addressed – especially if such alternatives proved popular?

Hosting sites internally gives more control over access.
Do Institutions have a responsibility to enable access to external providers
Do institutions have a responsibility to educate staff/students in use of and access to services?
People may be more confident to post material they are unsure of if they can initially restrict access to it.
How do we make sure people are aware and getting the information they need to use the web 2.0 tools.
Information literacy should be included in all undergraduate courses. Information literacy in the digital age is an alien concept and must be taught as it is probably not taught in schools.

3 Supporting Users In A Distributed Environment
How should an institution go about supporting its users in an environment in which a diversity of services may be used?

We assume digital natives and we assume broadband access. Are these assumptions valid? Students from diverse countries/cultures will have very different experiences of IT use. Distance learners generally work well with blogs/social networks but they must have fast access and the skills to learn at a distance.
Some state email as primary communication and some insist on students reading email at least daily in term time.
We tend to assume we know what students want rather than actually asking them.
If we do ask students we tend to get info from the easy-to-reach ones. Very important to try to get input from students as much as possible.
Users are also colleagues - teaching, research, finance, HR etc. How do we get their requirements?
We are often playing catch-up to our students' needs.
We need to balance between media-rich and media-lean ways of teaching in order to ensure more universal access.
Key to HE is writing task and blogs/wikis fit this well.
We should be educating people about writing skills. Problems are around use of language rather than technology.
Do we need to persuade people that blogging is interesting/worthwhile before they do it.
Need to educate people in using the right tools for the right job.
Work/Personal life balance needs careful attention/consideration and perhaps we can educate users about this.
We can educate users about privacy settings, sensible policy on "making friends" with students on facebook etc. Give academic staff etc. the edge over competitors using these tools.
Who's responsibility is it to tell people which tools to use/how to use them? Is this part of StudySkills?

 Summary of the Discussion

This is a good area for partnership working. Knowledge is being harvested by new IT services like facebook, blogs, secondlife etc.

Who does have the ear and trust of the students? We need to work with them.

We are in some ways in loco parentis with students and need continually to assess new technologies and make sure students are travelling down safe roads.

 Recommendations

Can we make learning objects/guidance available for University teachers to use when inducting students and teaching them study skills?

Choice of provider (external/internal) really depends on whether the service is considered a core University Service and if the University is insisting on its use.

We need to keep and eye on where people are going in ways of learning and follow them there, constantly assessing the implications of new technologies on the way.

Group 6

 About This Page
This page has been set up to support the discussion groups.

Participants in your discussion group will have been assigned to a discussion group and given a handout with some suggestions for topics to be addressed. A lot of discussion about how it ties in with the business goals. One comment noted that the use of various technologies should not have any major influence over the strategy itself. One key point made around an institution having an open culture which social software seems to fit in at the moment.

General consensus being that technology should not influence your strategy.

Point made about social software being a form of 2-way communication and whether or not certain sub-classes are being left out of the conversation. Does appear to be a digital divide even where the majority of staff are IT enabled, are they web 2.0 enabled. It empowers people who enjoy engaging but what about those people who don't want to participate. The core idea is about giving the user choices. Presumptions should not be made about the future users.

 1 The User Perspective
In 2010 what how the user within our institution make use of blogs and social networking services?

One of the problems is knowing who your core users will be in 2010. What percentage of students will be coming into our universities with this knowledge. Pace of change within institutions can be quite slow however the external environment is flying past us.

 2 The Institutional Perspective
In 2010 what is the role of the institution in supporting the users’ vision?

One major issue surrounds the longevity of information. Should information therefore be hosted or outsourced, who's decision is this and what are the roles and responsibilities. Point made that we do actually manage our own information, perhaps the institution should actually think clearly about what we need to hang on to and what we should give up.

Here a lot of issues surrounding ownership and records management from IT Roles and Librarians but not so much from academics (personal view), do people find this to be true. Point made that perhaps they need to be made aware of these issues.

Point made about this being all about the user. Giving them free expression will support the learning experience. Goes back to user expectation, if they use their own techniques why do they have to change.

Do learners have any expectations with regards to administration. What is the institutions key role? To provide a grade, provide a community? Helps to improve retention. Students are bringing expectations from personal and college life into businesses. The demand is becoming so great security people have to open up.

 3 Implementing The Vision
What do organisations need to do to implement your vision? What do they need to be doing today? What should they not be doing?

Edinburgh have produced some web 2.0 guidelines, different with regards to detailing 3rd party issues. They encourage the use of 3rd party tools however give guidance on things they need to bear in mind.

 Summary of the Discussion

Not a strategic issue but rather a set of tools that may or may not change with regards to supporting that strategy.

Issues - Accessibility, Engagement, Choice should be given to the core audience, Slow change within institutions/fast change external to institutions.

Longevity of information, what happens if information is lost.

To what extent is the student experience package a strategic issue.

In terms of a business perspective the demand for these social tools are coming in from personal and college life.

 Recommendations

Guidelines need to consider 3rd Party and Terms & Conditions.

UCISA and JISC to support HE.

Group 2

 About This Page

Participants in your discussion group will have been assigned to a discussion group and given a handout with some suggestions for topics to be addressed. Lack of granularity over control of who sees what - How do you reach your audience? Which bits of it?

Loss of exclusivity - as the network grows, it loses exclusivity for those who started using it before it was so popular. Loss of novelty.

How long will information persist? Will what I do come back to haunt me?

Prejudice by staff and students - this is not for work, it has no value.

Lack of credibility for what do on external site compared to something sanctioned by an institution. The seroius academic side of me is hidden behind protected systems, the public stuff is more trivial.

2 Possible Concerns Of The Institution
What concerns may the institution or other members of the institution have related to potential misuse of blogs and social networking services?

Support requirements for students/staff - how much hand-holding will be required?
Damage to 'corporate/brand identity' - people more likely to moan than to praise.
Uncertain future (costs, loss of service, changes to T&C)
Undermining of value of education provided by institution - got all my lectures through YouTube, MIT, OU...they we're better than my lecturers.
Accessibility & usability (exclusion, bias against some user groups)

 3 Addressing The Concerns

How should the concerns of the user and the institution be best addressed?

User support (encourage use)
Training & Education (encourage appropriate use)
Start conversations with more people within an institution - not just techies. Way to raise issues of copyright, IPR, plagiarism...

 Summary of the Discussion

 Recommendations

Remote Sign Up

People who are interested in viewing the workshop talks remotely, either by watching the video stream or attending the workshop in Second Life should give their details, to help us gauge the demand.

We also invite remote participants to make a note of any problems (and solutions) they may have encountered in testing the services prior to the event.

An example of the format required is given below.

Note that we also have about 19 people signed up for the Second Life event thru the Facebook group.

Name, Institution, Type (Video or Second Life)

Mark Newell, Exeter University, Video Stream
Darren Langlands, Salford University, Video Stream
Barbara Smith, Durham University, Video Stream
Cristina Costa, University of Salford, Video Stream (might try SL too)
Christine Battagliola, Anglia Ruskin University, Video Stream
Alun Edwards, University of Oxford (SL)

 Your Feedback

Add your feedback here.
